Please read the following information carefully
Acknowledgement of Potential Hazards
I acknowledge the hazards inherent in the sports of skiing and snowboarding.  I acknowledge that these risks may be known or unknown.  I hereby assume all risks and absolve, release, and waive any and all liability, claims or demands against the Southern Snow Seekers, its officers, Trip Leaders and their agents and every member thereof which may arise out of, or be related to any injuries or physical and equipment damages in connection with my participation.
Cancellation Guidelines
All cancellations must be made in writing and are applicable upon the date received. Possible cancellation penalties will apply based on the date received (refer to individual trip flyers for specific dates).You may be held responsible for fees charged by the resort and or transportation vendors as a result of the cancellation and any increase in cost to the trip participants from the cancellation. No refunds will be made within 45 days of trip departure date.
Conduct Guidelines
Participants are expected to behave in a mature and respectful manner. Participants are expected to treat the Trip Leader/ Co-Trip Leader(s) and other participants with respect. In order to promote goodwill and enjoyment, it shall be the duty of the Trip Leader (or Club Board Member) to eject from that activity, anyone whose behavior exceeds the bounds of good taste or who participates in illegal acts. Participants in violation of these guidelines may be penalized as deemed appropriate, including limited or discontinued participation in future activities or expulsion from club membership.
Payment Guidelines
Trip participants are strongly encouraged to adhere to payment deadlines outlined for each trip. Deposits are required to reserve spaces for all trips. Late fees of $50 will be assessed for all payments received after the Final Payment Date (as identified on the trip flyer). Personal checks may be accepted for payment of trips until 30 days prior to departure.
Payments received within 30 days of departure must be in the form of money order, cashier's check or certified check. All money orders and checks should be made payable to the Southern Snow Seekers. Airlines may permit payment of airfare by credit card. Trip leaders may request credit card information if members desire to use this option.
Release Of Liability And Hold Harmless Agreement
I hereby appoint the Club and/or Trip Leader to perform necessary acts deemed desirable in connection with planning and leading this ski trip on my behalf. I understand and agree the Club acts as coordinator only and accepts no responsibility for the services of any person or agent, ski area, airline, motor coach, hotel or condominium, or any organization whatsoever rendering any of the services or accommodations being offered on any trip or activity. Ski trip and other activity fees are based upon current tariffs and are subject to change without notice. The Club accepts no responsibility in whole or part for any delayed departures or arrivals, missed plane or other carrier connections, loss, damage or injury to person or property, mechanical defect or failure of any nature how soever caused, or for any substitution of hotels or common carrier, with or without notice, or for any additional expenses occasioned thereby. I/we fully understand that the Club is a voluntary association run by volunteer officers and Board Members who have no special or professional training in conducting ski trips and other activities. By participating, we do not rely on the expertise of any director, officer, activity coordinator or the agents of any of the foregoing: delivery of goods and service as described is the responsibility of the contracted vendors.
Returned Check Guidelines
Checks that are not honored by the trip participant's financial institution shall be returned to the Club. The trip participant will be notified of any such occurrence in a timely manner by the Trip Leader. The trip participant will be assessed an additional fee of $25.00 to cover costs incurred by the Club to handle this matter. Such fees must be received by the Club within 10 (TEN) days from the date of contact or notification. Non-payment of such fees may result in additional fees and/or prevent the trip participant from receiving all or some trip-related services until the matter is resolved.
Roommates/Room Assignments, Lodging & Per Pillow Guidelines
Lodging prices are based on rates per pillow. "Per pillow" means it is possible you will be paired with a roommate (and possibly bedmate) you did not select. Every effort will be made to accommodate roommate requests. However, confirmation will be conditional until a roommate is confirmed. If we have to assign roommates, we reserve the right to make rooming changes as necessary. Rooms will be assigned at random by the hotel/lodge/condominium. Specific room locations cannot be guaranteed. Most rooms have two beds. Each bedroom includes 2 pillows.
Single supplement pricing options (the purchase of an entire bedroom) may be available for some trips. Common area (e.g. den area) spaces will not be sold as lodging. Exceptions to this policy may be granted for families (all exceptions must be approved by the Trip Leader and Trip Coordinator). The cost of rollaway beds is not included.
Youth Participation
Youth members (individuals under 18 years of age) are encouraged to participate in all trips. Parents and guardians are responsible for supervising and chaperoning youth during trips.
